Job Summary:
Under the general direction of the Studio Program Manager, the Administrative Support Coordinator interfaces with the public, providing customer service through in-person visits, email, and over the phone. The role oversees registration and manages constituent data for all tuition-based studio classes and workshops at the Honolulu Museum of Art. The Administrative Support Coordinator is also responsible for providing administrative support that includes processing payment transactions, managing the Studio Programs Calendar, stewarding the supply procurement and inventory for the Honolulu Museum of Art, Art School, and tracking attendance, enrollment, and revenue.

The Honolulu Museum of Art:
Opened in 1927, the Honolulu Museum of Art is a home for art and education created for the benefit of the entire community. Founder Anna Rice Cooke envisioned a museum that would bring people together through the power of art and “the deep intuitions that are common to all.” The museum was conceived of as a place of meaningful exchange and dialogue, celebrating the diverse artistic and cultural traditions of Hawai‘i’s multi-ethnic population. Minimum Qualifications:

  • College degree with 1 year in non-profit or an equivalent combination of education, training, or experience.
  • Proficiency in Microsoft Office applications.
  • A critical thinker who can analyze data and capitalize on information.
  • A confident and articulate collaborator who is creative and team oriented.
  • Honesty, integrity, enthusiasm, perspective, and a strong work ethic supported by commitment and follow-through.
  • Possesses superior judgment and handles confidential information with discretion.
  • Current Driver’s License
  • Ability to work within and support a diverse community of visitors, artists, and employees.

Desired Qualifications:

  • 1 to 2 years of experience of administrative work in an office setting.
  • Previous experience with CRM (Constituent Relationship Management) such as Tessitura or Raiser’s Edge for data entry, and report generation.
  • Understanding of Honolulu Museum of Art’s established identity and dedication to advancing it.

Essential Duties:

  • Manage registration, enrollment, and class rosters for all tuition-based classes and workshops in Tessitura.
  • Keeps constituent records consistent records of all enrolled participants in tuition-based classes and workshops and up to date.
  • Assists with enrollment cancellation if any and interprets registration policies which includes refunds, credits, and transfers.
  • Develops and maintains master calendar for Studio Programs at HoMA.
  • Develops monthly, quarterly, and annual reports on Art School attendance, enrollment, and revenue.
  • Manages procurement and ordering of supplies and works with Art School Instructors to maintain supply levels in classrooms and studios.
  • Provides input for short and long-range program goals for the Art School.
  • Oversees the scheduling and payment of contracted models for select classes.
  • Other duties as requested.

Compensation
The Honolulu Museum of Art is committed to practicing salary transparency. The minimum salary for this position is $21.00/hour and the maximum salary is $23.00/hour. Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting pay, including education, experience, the external labor market, and internal equity. Working Conditions and Atmosphere:
Works in an office environment. General office hours are Monday through Friday, 8:00 a.m. to 5:00 pm with flexible scheduling as needed. Ability to operate general office equipment including computer, copier, printers, fax machine, etc. Ability to lift, carry, push, pull, up to 25 lbs. of general office material or equipment. Ability to work some evening and weekend hours.
