The Financial Operations Supervisor leads the strategic development and ongoing operations of the following: Accounts Payable, P-Card program, Travel & Expense, various key financial operational functions and other core accounting functions.
Primary Duties and Responsibilities:
Lead, mentor, and supervise a team of two, managing the team’s workflow.
Oversight of the accounts payable process and operations.
Manage efficient, accurate processing of high volumes of invoices and timely payments in multiple systems.
Oversight of the travel and expense program, including P-Cards and T&E Cards
Manage multiple AP systems as administrator.
Supports development of the enterprise annual operating administrative expense and capital expenditure budgets
Performs monthly cost center budget vs actual analysis and follows-up with cost center managers regarding material discrepancies
Assists with administrative spend management by providing cost center managers with supporting documents and scrutinizing new spend trends
Prepares periodic cash flow forecasts to support and optimize cash and investment management
Supports cash management by leveraging and optimizing the timing of cash outflows
Performs administrative cost of care analysis – identifying key cost drivers and recommending solutions.
Oversight of the Self-Direct Payroll process.
Create process improvements and policies as needed.
Core accounting duties supporting a 10 day close.
Assists with preparation of external financial and operating reports, including Quarterly and Annual regulatory (HI DOI, HI DHS MED-QUEST, and NAIC) reports.
Assists with preparation of supporting schedules and analysis for annual financial and regulatory audits.
Assists with responding to regulatory inquiries.
Oversight of annual reporting of 1099 forms.
Assists with preparation of supporting schedules for Form 990, return of Organization Exempt from Income Tax.
Prepare other reports and perform other duties, as assigned.
Responsible to maintain AlohaCare’s confidential information in accordance with AlohaCare policies, and state and federal laws, rules and regulations regarding confidentiality. Employees have access to AlohaCare data based on the data classification assigned to this job title.
Knowledge, Skills, Education, Licensure/Certification and Abilities:
Bachelor’s Degree with emphasis in Accounting, Finance, Business Administration, Health Care Administration or related field.
4-6 years of professional work experience which demonstrates the ability to perform the duties required for the position, including experience with accounts payable and expense management functions.
2 years of team oversight/supervision experience
Excellent interpersonal skills with the ability to communicate with all levels of the organization
Excellent computer skills and able to learn new systems efficiently
Advanced skills using Microsoft Programs; Word, Excel, PowerPoint and Outlook
Demonstrated strong skills in providing solutions and/or troubleshooting complex accounting issues.
Achieves results, builds trust, communicates effectively; customer and quality focused.
Ability to multi-task, organize, adapt to changing priorities, manage a diversity of high priority projects in a fast-paced environment.
Requires operation of general office equipment to include; PC, fax/copy machine and ACD Mitel Phones.
Proven experience with Access, Concur, Microsoft Dynamics GP, Payspan, QNXT, or G8 Guiding Care
2+ years’ experience in managed care, hospital, medical office, or equivalent
Mental, Physical and Environmental Demands:
Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
